AI & Partners and its subsidiaries and affiliates (collectively, “AI & Partners”, “us” or “we”) understand that your privacy is important to you. We are committed to respecting your privacy and protecting your personal data, which is any information that is capable of identifying you as an individual person. This Privacy Policy describes how we handle and protect your personal data in connection with AI & Partners's business activities, like conferences and events, and client services, and on websites, applications, and communications that post a link to this Privacy Policy (collectively, “the Sites”), in our capacity as data controllers. Information we collect

 

AI & Partners collects personal data in the course of its business activities, including in connection with some client services. We also collect personal data on certain areas of the Sites when you register for AI & Partners' newsletters and alerts, sign up for conferences and events, and/or participate in public user posting areas (such as bulletin boards, discussion forums and surveys). The personal data collected varies and may include information that you provide, such as your name, mailing address, e-mail address, telephone number.

We may combine this data with existing information we have about you or use it independently, for the purposes of our benchmarking and data analytics activities (e.g., analysis of recruiting practices across an industry, detecting fraud patterns in connection with financial transactions, foot traffic in retail environments). We will always seek to confirm that the third party has provided transparent information about its use of this data, including its disclosure to third parties like AI & Partners, in compliance with applicable law.

Use of Information

AI & Partners uses your personal data to fulfil your requests for information, process your requests to participate in conferences and events, personalize content that you view or receive on the Sites, evaluate and improve our services, distribute newsletters and alerts to you, recruit and evaluate job applicants, analyse the Sites’ performance and functioning, publish your letters to the editor or comments, prevent fraud, enforce our terms of use, comply with all applicable laws and corporate reporting obligations, enforce AI & Partners’s agreements, and accomplish other purposes you may initiate or request. In some situations, the collection of personal data may be required for the operation of the Sites, or we may use it in the course of our business activities, including in connection with some client services, for example, to provide certain services or products such as our benchmarking products. We may combine and/or analyze personal data to evaluate and offer content and services most relevant to you. We may keep any of your personal data on file and use it to contact you.

 

AI & Partners and its service providers may use first and third party Cookies and Other Tracking Technologies, including web beacons, to manage our Sites and our services and collect analytics about how you use them. AI & Partners and its service providers may collect information about whether you open or click any links in the knowledge, research or event communications that we send to you. Our Sites do not track you by collecting personal data about your online activities over time and across third party websites or online services. Accordingly, we do not alter our data collection and use practices in response to “do not track” signals transmitted from web browsers.

The Legal Basis by which Process your Personal Data

Our processing of your personal data for the purposes mentioned above is based:

  • in part, on our legitimate interests in promoting and protecting AI & Partners, building and maintaining relationships. recruitment, and providing our services;

Disclosure of Personal Data: Data Recipients and International Data Transfers

Personal data collected in the course of AI & Partners business activities, including in connection with some client services, as well as on the Sites may be transferred from time to time to AI & Partners subsidiaries and affiliates and their personnel across our organization, as well as to our third party service providers located throughout the world, including in countries where the local law may grant you fewer rights than you have in your own country. Additionally, the Sites may be viewed and hosted by AI & Partners and our third party service providers anywhere in the world. Where required by law, we have put in place legal mechanisms designed to ensure adequate data protection of your personal data that is processed by AI & Partners subsidiaries, affiliates and third party service providers, including the transfer of your personal data to countries other than the one in which you reside. By using any of the Sites and providing information on any of them, you voluntarily consent to such trans-border transfer and hosting of such information.

 

AI & Partners will not intentionally disclose or transfer (and will take reasonable steps to prevent the unauthorized or accidental disclosure of) your personal data to third parties without your consent or as otherwise permitted by law, whether for such third parties’ own marketing purposes or otherwise, except as follows. AI & Partners may provide access to your personal data to third party service providers engaged by AI & Partners to provide services related to the Sites as well as related to AI & Partners’s business activities, including in connection with some client services, in the manner agreed upon in our client services agreements. User Forums

You should be aware that whenever you publicly disclose information online, that information could be collected and used by others. AI & Partners is not responsible for any action or policies of any third parties who collect information that users publicly disclose in any such forums on the Sites.

Link to Third-Party Sites

AI & Partners may provide links to third party websites or information as a service to our users. If you use these links, you will leave the Sites. Such links do not constitute or imply an endorsement, sponsorship, or recommendation by AI & Partners of the third party, the third party website, or the information contained therein, and AI & Partners shall not be responsible or liable for your use thereof. Social Networking

 

The Sites may allow you to sign into and associate your social network accounts including, but not limited to, Twitter and LinkedIn, with AI & Partners. 

 

By associating your social network account with AI & Partners or logging in to a AI & Partners account using your social network account credentials, you give us permission to access information that you have made available in your public profile for that social network account. The information available in your public profile varies based on the social network and your settings, but may include your email address, real name, profile picture, gender, and location. We use the information we receive from your social network account in accordance with the social network’s terms of use and this Privacy Policy. Please refer to the privacy settings in your social network account for information about what data is shared with AI & Partners and other connected applications and to manage the data that is shared through your account, including information about your activities using our Sites.

Security

AI & Partners has implemented generally accepted standards of technology and operational security to protect personal data from loss, misuse, alteration, or destruction. Only authorized AI & Partners personnel and third party service providers are provided access to personal data, and these employees and service providers are required to treat this information as confidential. Despite these precautions however, AI & Partners cannot guarantee that unauthorized persons will not obtain access to your personal data.

Data Retention

AI & Partners retains personal data, as necessary, for the duration of the relevant business relationship.

We may also retain personal data for longer than the duration of the business relationship should we need to retain it to protect ourselves against legal claims, use it for analysis or historical record-keeping, or comply with our information management policies and schedules. If you request that we delete your personal data, AI & Partners will make reasonable attempts to delete all instances of the information in their entirety. A web beacon is a graphic image, which is placed on a website or in an email that alone or in conjunction with cookies compile information about your usage of or your interaction with a AI & Partners website or email. For example, we may add web beacons to the knowledge, research or event communications that we send to you to determine whether you have opened our email or clicked a link. The analysis gathered helps us improve the effectiveness of content and format of our websites and email communications.

How do I refuse or withdraw my consent to the use of Web Beacons?

You may avoid web beacons by configuring your email reader program to disable the functionality that enables remote images to load and by refraining from clicking on any links in email messages.

Code of Conduct

Effective Date: May 1, 2023.

 

We firmly believe in the value and importance of an environment where all AI & Partners community members feel welcome and safe.  This Code of Conduct explains the behaviour we expect from AI & Partners community members interacting at AI & Partners events and programs, and across AI & Partners blogs, online forums, and social media platforms.  The purpose of AI & Partners events, programs, blogs, online forums, and social media platforms is to foster technical and professional education and encourage community discussion.

Behaviour

 

  1. You will behave in a way that facilitates a safe and supportive environment for all AI & Partners event and program participants, and across AI & Partners blogs, online forums, and social media platforms.

  2. You will not engage in disruptive speech or behaviour or otherwise interfere with other individuals’ participation in AI & Partners events and programs, and across AI & Partners blogs, online forums, and social media platforms.

  3. You will not interfere with the operation of AI & Partners events, programs, blogs, online forums, and social media platforms.

  4. You will not attempt to receive benefits that you are not entitled to at AI & Partners events and programs, and across AI & Partners blogs, online forums, and social media platforms.

  5. You will not engage in any form of harassing, offensive, discriminatory, or threatening speech or behaviour, including but not limited to relating to race, gender, gender identity and expression, national origin, religion, disability, marital status, age, sexual orientation, military or veteran status, or other protected category.

  6. You will comply with the instructions of AI & Partners event and program staff, and AI & Partners blog, online forum, and social media platform moderators.

  7. You will comply with all applicable laws and, in the context of AI & Partners events, all of our event-specific requirements (including all health and safety requirements) and, in the context of AI & Partners programs, all of our program-specific requirements.

Scope

We expect all AI & Partners community members (including but not limited to attendees, vendors, sponsors, speakers, volunteers, moderators, and AI & Partners employees) to uphold the principles of this Code of Conduct.  In the context of AI & Partners events, this Code of Conduct covers the main event and all related events (social or otherwise).  In the context of AI & Partners programs, this Code of Conduct covers the main program and all related activities.  AI & Partners employees must continue to abide by all company policies at all times.

Consequences

If we believe you breached this Code of Conduct, we may prohibit you from attending future AI & Partners events and programs and interacting across AI & Partners blogs, online forums, and social media platforms, and we may remove any content you created in violation of this Code of Conduct.  Additionally, if we believe that you breached this Code of Conduct in the context of an AI & Partners event or program, we may require you to leave the AI & Partners event or program.  If we require you to leave an AI & Partners event, you will not be eligible to receive a refund of any fees paid to us related to the event.  All determinations are at our sole discretion.  We will involve law enforcement if we deem appropriate.

Consequences

AI & Partners operates the following policies for identifying and preventing slavery and human trafficking in our operations:

  • Whistleblowing Policy - we encourage all employees, customers and suppliers to report any suspicion of slavery or human trafficking without fear of retaliation. We provide a confidential helpline to protect the identity of whistle-blowers.

  • Code of Conduct - our code encourages employees to do the right thing by clearly stating the actions and behaviour expected of them when representing the business. We strive to maintain the highest standards of employee conduct and ethical behaviour when operating abroad and managing our supply chain.

Awareness

AI & Partners has raised awareness of modern slavery issues by sharing informational posters and leaflets across our facilities and sending an email that is focused specifically on modern slavery to all our staff, which explains:

  • Red flags for potential cases of slavery or human trafficking

  • How employees should report suspicions of modern slavery

Training

In addition to the awareness programme, to ensure we have a high level of understanding of the risks of modern slavery and that this commitment is a company-wide policy, AI & Partners provides training to our staff and ensures open communication with our staff and organizations forming our supply chain discuss any potential issues, risks and concerns.

Performance Measurement

AI & Partners has defined a set of key performance indicators and controls to combat modern slavery and human trafficking in our organisation and supply chain.

Transparency Report

Introduction 

AI & Partners (“we”, “us” or “AI&P”) are committed to being fully transparent about our privacy practices. Here, we describe our policy for managing government and law enforcement requests to access personal information that is stored in our systems, and we provide our Transparency Report that documents the requests we have received to date.

Government and law enforcement request policy

AI&P does not voluntarily disclose any personal data of customers to government authorities or otherwise grant them access to such data. In addition, AI&P has not built, and will not purposefully build, backdoors to enable government actors to access its data or information systems, and has not changed, and will not purposefully change, its processes in a manner that facilitates government access to data.

 

However, AI&P may receive a legally binding subpoena, writ, warrant, or other court order from a government authority requesting that it disclose a customer’s personal data. AI&P will only provide the requested customer data in response to formal and valid legal process. Where AI&P receives such a request, AI&P’s legal team reviews the request to ensure that it satisfies applicable legal requirements. If the legal assessment reveals legitimate and lawful grounds for challenging the request, AI&P will do so where appropriate. AI&P’s policy is to construe such requests narrowly to limit the scope of the personal data provided.

 

For AI&P to disclose any customer data, the request must also satisfy the following policies:

  • be made in writing and on official letterhead,

  • identify and be signed by an authorized official of the requesting party and provide official contact information, including a valid email address,

  • indicate the reason for, and nature of, the request,

  • identify the customer or customer account that is the target of the request,

  • describe with specificity the data/information sought and its relationship to the investigation, and

  • be issued and served in compliance with applicable law.

 

Where AI&P receives a legally binding request for a customer’s personal data, AI&P’s policy is to notify the customer via email before disclosing any information. To the extent permissible under the request and/or applicable law, the notice will describe the personal data requested, the authority making the request, the legal basis of the request, and any response already provided. This notice gives the customer an opportunity to pursue a legal remedy, such as filing an objection with a court or the requesting authority.

Exceptions to AI&P's policy for personal data requests by government authorities:

A statute, court order, or other law may prohibit AI&P from notifying the customer about the request, but AI&P will make reasonable efforts to obtain a waiver of the prohibition or provide notice once the prohibition requirement ends.

AI&P might not give notice to the customer in exceptional circumstances involving imminent danger of death or serious physical injury to any person or to prevent harm to AI&P’s services.

 

AI&P might not give notice to the customer when it has reason to believe that the notice would not go to the actual customer account holder, for instance, if an account has been hijacked.

 

Where AI&P identifies unlawful or harmful activity, or suspects any such activity, related to a customer’s account, it might notify appropriate authorities, such as in the cases of hacking.

Introduction

AI & Partners (“The Company”) is the business providing professional services in regard to the European Union Artificial Intelligence Act (the “Purpose”). The Company must process personal data so that it can provide these services – in doing so, The Company acts as a data controller. You may give your personal details to The Company directly, by providing us with identification documents and contact information. The Company must have a legal basis for processing your personal data. For the purposes of providing professional services to companies subject to the European Union Artificial Intelligence Act, we will only use your personal data in accordance with the terms of the following statement.

  • The right of access to the personal data the Company processes on you;

  • The right to rectification of your personal data;

  • The right to erasure of your personal data in certain circumstances;

  • The right to restrict processing of your personal data;

  • The right to data portability in certain circumstances;

  • The right to object to the processing of your personal data that was based on a public or legitimate interest;

  • The right not to be subjected to automated decision making and profiling; and

  • The right to withdraw consent at any time. Where you have consented to the Company processing your personal data you have the right to withdraw that consent at any time.
